Auditing the digital archive filestore

A couple of months ago I blogged about checksums and the methodology I have in place to ensure that I can verify the integrity and authenticity of the files within the digital archive.

I was aware that my current workflows for integrity checking were 'good enough' for the scale at which I'm currently working, but that there was room for improvement. This is often the case when there are humans involved in a process. What if I forget to create checksums to a directory? What happens if I forget to run the checksum verification?

Also, I am aware that checksum verification does not solve everything. For example, read all about The mysterious case of the changed last modified dates. Also, When checksums don't match... the checksum verification process doesn't tell you what has changed, who has changed it, when it was changed...it just tells you that something has changed. So perhaps we need more information.

A colleague in IT Services here at York mentioned to me that after an operating system upgrade on the filestore server last year, there is now auditing support (a bit more information here). This wasn't being widely used yet but it was an option if I wanted to give it a try and see what it did.

This seemed like an interesting idea so we have given it a whirl. With a bit of help (and the right level of permissions on the filestore), I have switched on auditing for the digital archive.

My helpful IT colleague showed me an example of the logs that were coming through. It has been a busy week in the digital archive. I have ingested 11 memory sticks, 24 CD-ROM and a pile of floppy disks. The logs were extensive and not very user friendly in the first instance.

That morning I had wanted to find out the total size of the born digital archives in the digital archive filestore and had right clicked on the folder and selected 'properties'. This had produced tens of thousands of lines of XML in the filestore logs as the attributes of each individual file had to be accessed by the server in order to make the calculation. The audit logs really are capable of auditing everything that happens to the files!

...but do I really need that level of information? Too much information is a problem if it hides the useful stuff.

It is possible to configure the logging so that it looks for specific types of events. So, while I am not specifically interested in accesses to the files, I am interested in changes to them. We configured the auditing to record only certain types of events (as illustrated below). This cuts down the size of the resulting logs and restricts it just to those things that might be of interest to me.




There is little point in switching this on if it is not going to be of use. So what do I intend to do with the output?

The format this is created in is XML, but this would be more user-friendly in a spreadsheet. IT have worked out how to pull out the relevant bits of the log into a tab delimited format that I can then open in a spreadsheet application.

What I have is some basic information about the date and time of the event, who initiated it, the type of event (eg RENAME, WRITE, ATTRIBUTE|WRITE) and the folder/file that was affected.

As I can view this in a spreadsheet application, it is so easy to reorder the columns to look for unexpected or unusual activity.

  • Was there anyone other than me working on the filestore? (there shouldn't be right now)
  • Was there any activity on a date I wasn't in the office?
  • Were there any activity in a folder I wasn't intentionally working on?
The current plan is that these logs will be emailed to me on a weekly basis and I will have a brief check to ensure all looks OK. This will sit alongside my regular integrity checking as another means of assuring that all is as it should be.

We'll review how this is working a few weeks to see if it continues to be a valuable exercise or should be tweaked further.

In my Benchmarking with the NDSA Levels of Preservation post last year, I put us at level 2 for Information Security (as highlighted in green below).

Now we have switched on this auditing feature and have a plan in place for regular checking of the logs, does this now take us to level 4 or is more work required?

I'd be really interested to find out whether other digital archivists are utilising filestore audit logs and what processes and procedures are in place to monitor these.

Final thoughts...

This was a quick win and hopefully will prove a useful tool for the digital archive her at the University of York. It is also a nice little example of collaboration between IT and Archives staff.

I sometimes think that IT people and digital preservation folk don't talk enough. If we take the time to talk and to explain our needs and use cases, then the chances are that IT might have some helpful solutions to share. The tools that we need to do our jobs effectively are sometimes already in place in our institutions. We just need to talk to the right people to get them working for us.

Harvesting EAD from AtoM: we need your help!

Back in February I published a blog post about a project to develop AtoM to allow EAD (Encoded Archival Description) to be harvested via OAI-PMH (Open Archives Initiative Protocol for Metadata Harvesting): “Harvesting EAD from AtoM: a collaborative approach

Now that AtoM version 2.4 is released (hooray!), containing the functionality we have sponsored, I thought it was high time I updated you on what has been achieved by this project, where more work is needed and how the wider AtoM community can help.


What was our aim?


Our development work had a few key aims:

  • To enable finding aids from AtoM to be exposed as EAD 2002 XML for others to harvest. The partners who sponsored this project were particularly keen to enable the Archives Hub to harvest their EAD.
  • To change the way that EAD was generated by AtoM in order to make it more scalable. Moving EAD generation from the web browser to the job scheduler was considered to be the best approach here.
  • To make changes to the existing DC (Dublin Core) metadata generation feature so that it also works through the job scheduler - making this existing feature more scalable and able to handle larger quantities of data

What have we achieved?

The good

We believe that the EAD harvesting feature as released in AtoM version 2.4 will enable a harvester such as the Archives Hub to harvest our catalogue metadata from AtoM as EAD. As we add new top level archival descriptions to our catalogue, subsequent harvests should pick up and display these additional records. 

This is a considerable achievement and something that has been on our wishlist for some time. This will allow our finding aids to be more widely signposted. Having our data aggregated and exposed by others is key to ensuring that potential users of our archives can find the information that they need.

Changes have also been made to the way metadata (both EAD and Dublin Core) are generated in AtoM. This means that the solution going forward is more scalable for those AtoM instances that have very large numbers of records or large descriptive hierarchies.

The new functionality in AtoM around OAI-PMH harvesting of EAD and settings for moving XML creation to the job scheduler is described in the AtoM documentation.

The not-so-good

Unfortunately the EAD harvesting functionality within AtoM 2.4 will not do everything we would like it to do. 

It does not at this point include the ability for the harvester to know when metadata records have been updated or deleted. It also does not pick up new child records that are added into an existing descriptive hierarchy. 

We want to be able to edit our records once within AtoM and have any changes reflected in the harvested versions of the data. 

We don’t want our data to become out of sync. 

So clearly this isn't ideal.

The task of enabling full harvesting functionality for EAD was found to be considerably more complex than first anticipated. This has no doubt been confounded by the hierarchical nature of the EAD which differs from the simplicity of the traditional Dublin Core approach.

The problems encountered are certainly not insurmountable, but lack of additional resources and timelines for the release of AtoM 2.4 stopped us from being able to finish off this work in full.

A note on scalability


Although the development work deliberately set out to consider issues of scalability, it turns out that scalability is actually on a sliding scale!

The National Library of Wales had the forethought to include one of their largest archival descriptions as sample data for inclusion in the version of AtoM 2.4 that Artefactual deployed for testing. Their finding aid for St David’s Diocesan Records is a very large descriptive hierarchy consisting of 33,961 individual entries. This pushed the capabilities of EAD creation (even when done via the job scheduler) and also led to discussions with The Archives Hub about exactly how they would process and display such a large description at their end even if EAD generation within AtoM were successful.

Some more thought and more manual workarounds will need to be put in place to manage the harvesting and subsequent display of large descriptions such as these.

So what next?


We are keen to get AtoM 2.4 installed at the Borthwick Institute for Archives over the next couple of months. We are currently on version 2.2 and would like to start benefiting from all the new features that have been introduced available... and of course to test in earnest the EAD harvesting feature that we have jointly sponsored.

We already know that this feature will not fully meet our needs in its current form, but would like to set up an initial harvest with the Archives Hub and further test some of our assumptions about how this will work.

We may need to put some workarounds in place to ensure that we have a way of reflecting updates and deletions in the harvested data – either with manual deletes or updates or a full delete and re-harvest periodically.

Harvesting in AtoM 2.4 - some things that need to change


So we have a list of priority things that need to be improved in order to get EAD harvesting working more smoothly in the future:


In line with the OAI-PMH specification

  • AtoM needs to expose updates to the metadata to the harvester
  • AtoM needs to expose new records (at any level of description) to the harvester
  • AtoM needs to expose information about deletions to the harvester
  • AtoM also needs to expose information about deletions to DC metadata to the harvester (it has come to my attention during the course of this project that this isn’t happening at the moment) 

Some other areas of potential work


I also wanted to bring together and highlight some other areas of potential work for the future. These are all things that were discussed during the course of the project but were not within the scope of our original development goals.

  • Harvesting of EAC (Encoded Archival Context) - this is the metadata standard for authority records. Is this something people would like to see enabled in the future? Of course this is only useful if you have someone who actually wants to harvest this information!
  • On the subject of authority records, it would be useful to change the current AtoM EAD template to use @authfilenumber and @source - so that an EAD record can link back to the relevant authority record in the local AtoM site. The ability to create rich authority records is such a key strength of AtoM, allowing an institution to weave rich interconnecting stories about their holdings. If harvesting doesn’t preserve this inter-connectivity then I think we are missing a trick!
  • EAD3 - this development work has deliberately not touched on the new EAD standard. Firstly, this would have been a much bigger job and secondly, we are looking to have our EAD harvested by The Archives Hub and they are not currently working with EAD3. This may be a priority area of work for the future.
  • Subject source - the subject source (for example "Library of Congress Subject Headings") doesn't appear in AtoM generated EAD at the moment even though it can be entered into AtoM - this would be a really useful addition to the EAD.
  • Visible elements - AtoM allows you to decide which elements you wish to display/hide in your local AtoM interface. With the exception of information relating to physical storage, the XML generation tasks currently do not take account of visible elements and will carry out an export of all fields. Further investigation of this should be carried out in the future. If an institution is using the visible elements feature to hide certain bits of information that should not be more widely distributed, they would be concerned if this information was being harvested and displayed elsewhere. As certain elements will be required in order to create valid EAD, this may get complicated!
  • ‘Manual’ EAD generation - the project team discussed the possibility of adding a button to the AtoM user interface so that staff users can manually kick-off EAD regeneration for a single descriptive hierarchy. Artefactual suggested this as a method of managing the process of EAD generation for large descriptive hierarchies. You would not want the EAD to regenerate with each minor tweak if a large archival description was undergoing several updates, however, you need to be able to trigger this task when you are ready to do so. It should be possible to switch off the automatic EAD re-generation (which normally triggers when a record is edited and saved) but have a button on the interface that staff can click when they want to initiate the process - for example when all edits are complete. 
  • As part of their work on this project, Artefactual created a simple script to help with the process of generating EAD for large descriptive hierarchies - it basically provides a way of finding out which XML files relate to a specific archival description so that EAD can be manually enhanced and updated if it is too large for AtoM to generate via the job scheduler. It would be useful to turn this script into a command-line task that is maintained as part of the AtoM codebase.

We need your help!


Although we believe we have something we can work with here and now, we are not under any illusions that this feature does all that it needs to in order to meet our requirements in the longer term.

Harvesting EAD from AtoM: a collaborative approach

In a previous blog post AtoM harvesting (part 1) - it works! I described how archival descriptions within AtoM are being harvested as Dublin Core for inclusion within our University Library Catalogue.* I also hinted that this wouldn’t be the last you would hear from me on AtoM harvesting and that plans were afoot to enable much richer metadata in EAD 2002 XML (Encoded Archival Description) format to be harvested via OAI-PMH.

I’m pleased to be able to report that this work is now underway.

The University of York along with five other organisations in the UK have clubbed together to sponsor Artefactual Systems to carry out the necessary development work to make EAD harvesting possible. This work is scheduled for release in AtoM version 2.4 (due out in the Spring).

We are also receiving much needed support in this project from The Archives Hub who are providing advice on the AtoM EAD and will be helping us test the EAD harvesting when it is ready. While the sponsoring institutions are all producers of AtoM EAD, The Archives Hub is a consumer of that EAD. We are keen to ensure that the archival descriptions that we enter into AtoM can move smoothly to The Archives Hub (and potentially to other data aggregators in the future), allowing the richness of our collections to be signposted as widely as possible.

Adding this harvesting functionality to AtoM will enable The Archives Hub to gather data direct from us on a regular schedule or as and when updates occur, ensuring that:


  • Our data within the Archives Hub doesn’t stagnate
  • We manage our own master copy of the data and only need to edit this in one place
  • A minimum of human interaction is needed to incorporate our data into the Hub
  • It is easier for researchers to find information about the archives that we hold without having to search all of our individual catalogues


So, what are we doing at the moment?


  • Developers at Artefactual Systems are beavering away working on the initial development and getting the test site ready for us to play with.
  • The sponsoring institutions have been getting samples of their own AtoM data ready for loading up into the test deployment. It is always better when testing something to have some of your own data to mess around with.
  • The Borthwick have been having discussions with The Archives Hub for some time about AtoM EAD (from version 2.2) but we’ve picked up these discussions again and other institutions have joined in by supplying their own EAD samples. This allows staff at the Hub to see how EAD has changed in version 2.3 of AtoM (it hasn’t very much) and also to see how consistent the EAD from AtoM is from different institutions. We have been having some pretty detailed discussions about how we can make the EAD better, cleaner, fuller - either by data entry at the institutions, automated data cleaning at The Hub prior to display online or by further developments in AtoM.


What we are doing at the moment is good and a huge step in the right direction, but perhaps not perfect. As we work together on this project we are coming across areas where future work would be beneficial in order to improve the quality of the EAD that AtoM produces or to expand the scope of what can be harvested from AtoM. I hope to report on this in more detail at the end of the project, but in the meantime, do get in touch if you are interested in finding out more.

Digital Preservation Awards 2016 - celebrating collaboration and innovation

Last week members of the Filling the Digital Preservation Gap project team were lucky enough to experience the excitement and drama of the biannual Digital Preservation Awards!

The Awards ceremony was held at the Wellcome Collection in London on the evening of the 30th November. As always it was a glittering affair, complete with dramatic bagpipe music (I believe it coincided with St Andrew's Day!) and numerous references to Strictly Come Dancing from the judges and hosts!

This year our project had been shortlisted for the Software Sustainability Institute award for Research and Innovation. It was fantastic to be a finalist considering the number of nominations from across the world in this category and we certainly felt we had some strong competition from the other shortlisted projects.

One of the key strengths in our own project has been the collaboration between the Universities of York and Hull. Additionally, collaboration with Artefactual Systems, The National Archives and the wider digital preservation community has also been hugely beneficial.

Interestingly, collaboration was a key feature of all the finalists in this category, perhaps demonstrating just how important this is in order to make effective progress in this area.

The 4C project "Collaboration to Clarify the Costs of Curation" was a European project which looked at costs and benefits relating to digital preservation activities within its partner organisations and beyond. Project outputs in use across the sector include the Curation Costs Exchange.

The winner in our category however was the Dutch National Coalition for Digital Preservation (NCDD) with Constructing a Network of Nationwide Facilities Together. Again there was a strong focus on collaboration - this time cross-domain collaboration within the Netherlands. Under the motto "Joining forces for our digital memory", the project has been constructing a framework for a national shared infrastructure for digital preservation. This collaboration aimed to ensure that each institution does not have to reinvent the wheel as they establish their own digital preservation facilities. Clearly an ambitious project, and perhaps one we can learn from in the UK Higher Education sector as we work with Jisc on their Shared Service for Research Data.

The awards ceremony itself came at the end of day one of the PERICLES conference where there was an excellent keynote speech from Kara Van Malssen from AV Preserve (her slides are available on SlideShare - I'd love to know how she creates such beautiful slides!).

In the context of the awards ceremony I was pondering one of the messages of Kara's talk that discussed our culture of encouraging and rewarding constant innovation and the challenges that this brings - especially for those of us who are 'maintainers'.

Maintainers maintain systems, services and the status quo - some of us maintain digital objects for the longer term and ensure we can continue to provide access to them. She argued that there are few rewards for maintainers and the incentives generally go to those who are innovating. If those around us are always chasing the next shiny new thing, how can the digital preservation community keep pace?

I would argue however that in the world of digital preservation itself, rewards for innovation are not always forthcoming. It can be risky for an institution to be an innovator in this area rather than doing what we have always done (which may actually bring risks of a different kind!) and this can stifle progress or lead to inaction.

This is why for me, the Digital Preservation Awards are so important. Being recognised as a finalist for the Research and Innovation award sends a message that what we have achieved is worthwhile and demonstrates that doing something different is A Good Thing.

For that I am very grateful. :-)

Research Data Spring - a case study for collaboration

Digital preservation is not a problem that any single institution can realistically find a solution to on their own. Collaboration with others is a great way of working towards sustainable solutions in a more effective way. This post is a case study about how we have benefited from collaboration whilst working on the "Filling the Digital Preservation Gap" project.

In late 2014 Jisc announced a new collaborative initiative called Research Data Spring. The project model specifically aimed to create innovative partnerships and collaborations between stakeholders at different HE institutions working within the field of Research Data Management. Project teams were asked to work in short sprints of between three and six months and were funded for a maximum of three phases of work. One of the projects lucky enough to be funded as part of this initiative was the “Filling the Digital Preservation Gap” project, a collaboration between the Universities of Hull and York. This was a valuable opportunity for teams at the two universities to work together on a shared solution to a shared problem and come up with a solution that might be beneficial to others.

The aim of the project was to address a perceived gap in existing research data management infrastructures around the active preservation of the data. Both Hull and York had existing digital repositories and sufficient storage provision but were lacking systems and workflows for fully addressing preservation. The project aimed to investigate the open source tool Archivematica and establish whether this would be a suitable solution to fill this gap.


As well as the collaboration between Hull and York, further collaborations emerged as the project progressed. 

Artefactual Systems are the organisation who support and develop Archivematica and the project team worked closely with them throughout the project. Having concluded that Archivematica has great potential for helping to preserve research data, the project team highlighted several areas where they felt additional development was required in order to enhance existing functionality. Artefactual Systems were consulted in detail as the project team scoped out priorities for further work. They were able to offer many useful insights about the best way of tackling the problems we described. Their extensive knowledge of the system put them in a good place to look at the issues from various angles to find a solution which would meet our needs as well as the needs of the wider community of users. Artefactual Systems were also able to help us with one of our outreach activities, joining us (virtually) to give a presentation about our work.

The UK Archivematica group was kept informed about the project and invited to help shape the priorities for development (you can read a bit about this in a previous blog post). Experienced and established Archivematica users from the international community were also consulted to discuss the new features and to review how the proposed features would impact on their workflows. Ultimately, none of us wanted to create bespoke developments that were only going to be of use to Hull and York.

Collaboration with another Research Data Spring project being carried out at Lancaster University was also necessary to enable future join up of these two initiatives. One of the areas highlighted for further work was improved reporting within Archivematica. By sponsoring a development to enable data to be more easily exposed to third party applications, the project team worked closely with the DMAOnline project team at Lancaster to ensure the data would be made available in a manner that was suitable for their tool to work with.  

Another area of work that called for additional collaboration was in the area of file format identification. This is very much an area that the digital preservation community as a whole needs to work together on. For research data in particular, there are many types of file that are not identified by current identification tools and are not present within the Pronom registry of file types. We wanted to get greater representation of research data file formats within Pronom and also enhance Archivematica to enable better workflows for non-identified files (see my previous post for more about file identification workflows). This is why we have also been collaborating with the team at The National Archives who develop new file signatures for Pronom.

The collaborative nature of this project brought several benefits. Despite the short time scales at play (or perhaps because of them) there was a strength in working together on a new and innovative solution to preserve research data.

The universities of Hull and York were similar enough to share the same problem and see the need to fill the digital preservation gap, but different enough to introduce interesting variations in workflows and implementation strategies. This demonstrated that there is often more than one way to implement a solution depending on institutional differences.  

By collaborating and consulting widely, the project hoped to create a better final outcome and produce a set of enhancements and case studies that would benefit a wide community of users.

The Atlas of Digital Damages

Last week I attended a Digital Preservation Coalition day of action on collaborative approaches to digital archiving (and file format identification in particular) jokingly subtitled 'Bring out your Dead'.

Our current work has certainly uncovered some digital media and files that could be described as 'dead' and though I didn't really have cause to bring them out on the day, one of the key things that was reinforced by many of the speakers on the day was the importance of collaboration.

Digital archiving is complex and evolving field and we can not hope to solve all of the problems we are faced with alone. Although sometimes we may struggle to find the time to actively engage with collaboration initiatives, the importance of making time to do so was highlighted and at the end of the workshop we were asked to commit to at least one of the collaborative initiatives neatly summarised on the OPF wiki page Support your digital preservation community.

Only a small step I know, but I decided that something we could easily contribute to was the Atlas of Digital Damages. This is a group on Flickr with a remit to collect "visual examples of digital preservation challenges, failed renderings, encoding damage, corrupt data...". These images all tell a story and visually highlight and describe preservation issues that many of us will face. I hope to use some of these images to illustrate future presentations.

So, I have re-registered with Flickr (it has been a long time!) and uploaded my first picture (see above). It is that easy! I feel the compact disc photographed represents a very real digital preservation challenge! I was relieved to be told today that we do hold the data on this corrupt CD (burnt less than 6 years ago) elsewhere in the office, so in this case at least, the level of digital damage is minimal.
